  • Personal Identifiers: Full name, email address, phone number, mailing address, date of birth

  • Health-Related Information: Types of medical services you are seeking, optional details you provide about your health concerns
  • Insurance Information: Insurance provider, member ID, group ID, and other relevant insurance information
  • Booking Information: Appointment details, provider information, and whether you are a new patient for a specific provider
  • Communication Data: Messages exchanged with healthcare providers (or with patient leads, if you’re a healthcare provider), preferences for receiving communications
  • Analytics Data: Information to monitor and analyze use of our Services, for example for our Service’s technical administration, to increase our Service’s functionality and user-friendliness, and to verify users have the authorization needed to process their requests

  • User-Generated Content: Feedback, reviews, ratings, and responses to surveys

3. HIPAA and Protected Health Information (PHI)

Certain health-related information that we collect on behalf of healthcare providers may be considered “Protected Health Information” (PHI) under the Health Insurance Portability and Accountability Act (“HIPAA”). When acting as a “Business Associate” to “Covered Entities” (healthcare providers), we handle PHI in compliance with HIPAA regulations.

This Privacy Policy does not apply to PHI governed by HIPAA. PHI is subject to separate privacy and security protections under HIPAA and the healthcare provider’s Notice of Privacy Practices. Personal data that you provide to HelpMatch when we are not acting as a Business Associate is not considered PHI and is covered by this Privacy Policy.

These incentives are based on the value we derive from the Personal Data you provide and are used solely to enhance our services and product offerings. HelpMatch will not discriminate against you for exercising any of your CCPA rights. Exercising these rights will not affect the pricing, quality, or availability of our services. You will continue to have access to our services on the same terms as other users, regardless of whether you choose to exercise your rights under the CCPA.

Additional Rights for California Residents

Our services are intended for users in the United States. If you access our services from outside the U.S., please be aware that your information may be transferred to and processed in the U.S., where data protection laws may differ from those in your jurisdiction.

We may use artificial intelligence (AI) and machine learning (ML) tools to enhance our services, such as providing chat support or personalized recommendations. These tools process your Personal Data in accordance with this Privacy Policy.

17. Google User Data and Google Calendar Integration

If you are a healthcare provider, HelpMatch offers an optional integration that lets you connect your Google Calendar to enable appointment scheduling. When connected, prospective patients matched to you can book appointments with you directly from your HelpMatch match and profile pages, and the times they are offered are filtered in real time against your Google Calendar so that only slots when you are actually free — within your configured business hours — are shown. This integration is entirely optional, and you may use HelpMatch without connecting a Google account. When you choose to connect your Google Calendar, you authorize HelpMatch to access a limited set of Google user data solely to operate this feature.

Specifically, with your authorization we access:

  • Google Account Email: The email address associated with the Google Account you connect, so we can identify and display the connected calendar.
  • Calendar Availability (read): Your free/busy times and events on your primary Google Calendar, which we read to filter the appointment times shown to prospective patients so that only times when you are available are offered.
  • Calendar Events (read and write): The ability to create, update, and cancel appointment events on your primary Google Calendar when a matched patient books, reschedules, or cancels an appointment with you. The event we add includes the appointment time and the booking patient’s name and email address as an attendee.

We use this Google user data exclusively to provide and improve the appointment-scheduling features described above. To keep your calendar connected, we securely store the access and refresh tokens Google provides. You may disconnect your Google Calendar at any time from the Integrations area of your account settings or through your Google Account permissions at myaccount.google.com/permissions. Disconnecting revokes HelpMatch’s access and deletes the associated tokens from our systems.

Limited Use. HelpMatch’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In accordance with those requirements, we do not use Google user data for serving advertisements; we do not sell Google user data; we do not transfer Google user data to third parties except as necessary to provide or improve the scheduling feature, to comply with applicable law, or as part of a merger, acquisition, or sale of assets with notice to you; we do not use Google user data to train generalized or non-personalized artificial intelligence or machine-learning models; and we do not allow humans to read your Google user data except with your affirmative consent, for security purposes (such as investigating abuse), to comply with applicable law, or where the data has been aggregated and anonymized and is used for internal operations.

Notwithstanding any other provision of this Privacy Policy — including the sections addressing marketing and advertising, interest-based advertising, disclosure of Personal Data, and California data sharing and “selling” — Google user data obtained through the Google Calendar integration is governed exclusively by this section and is never used for advertising, sold, or shared except as described here.

18. Provider Billing and Payment Information

If you are a healthcare provider who purchases patient leads through HelpMatch, we collect and process the information necessary to bill you and collect payment for the leads and services you purchase. This applies to accounts on prepaid plans as well as accounts on postpaid or “pay-as-you-go” (PAYG) terms, under which you are billed for leads after they are delivered to your account rather than in advance.

For billing purposes, we collect and maintain:

  • Billing and Payment Details: Billing contact name, business and billing address, tax identification information where applicable, and payment method information. Payment card and bank details are processed and stored by our third-party payment processors; HelpMatch does not store full payment card numbers.
  • Account and Usage Records: Your activation date, the number and type of leads delivered to your account, the profession or service category and the corresponding per-lead rate that applies to you, and your invoice and payment history.

We use this information to calculate the amounts you owe based on the leads delivered to you and the rates applicable to your profession, to issue invoices, and to charge the payment method you have authorized and kept on file. For postpaid/PAYG accounts, you authorize HelpMatch to charge your payment method on file for amounts owed on a recurring basis — for example, an initial charge approximately seven (7) days after your account is activated and approximately every fourteen (14) days thereafter — in accordance with the rates and payment terms set out in your provider agreement and our Terms of Service.

We share this information with our payment processors and, where amounts remain unpaid, with collections agencies, credit reporting agencies, and our legal and professional advisors, in each case as reasonably necessary to invoice, collect, and recover amounts owed and to protect our legal rights.
